How to Send Your File for Print and Get It Right the First Time

There is a particular kind of frustration that happens when a customer collects their printed order, and the colours look nothing like what was on screen. Or the text is slightly blurry. Or the design has been cropped at the edges. If you have ever experienced that, you are not alone. It happens to businesses all the time, and in most case,s it is not the printer’s fault.

The problem usually traces back to how the file was prepared before it arrived at the print shop. A few small habits, learned once, will save you time, money, and the headache of reprints.

1. Send a PDF, Not a Design File

Many customers senCorelDRAWaw, Photoshop, or Canva files. The problem is that when your design file is opened on a different machine, fonts go missing, linked images break, and colours shift. A properly exported PDF locks everything in place. When you export from your design software, choose PDF/X-1a or PDF Print Quality. That setting alone eliminates most file-related print problems.

If you are designing on Canva, use the Download option and select PDF Print, not the standard PDF. There is a difference, and it matters.

2. Work in CMYK, Not RGB

Your phone screen and your laptop display colours using light, which combines red, green, and blue (RGB). A printer uses cyan, magenta, yellow, and black (CMYK) inks. These are fundamentally different systems. A bright neon blue on your screen may appear dull or purple in print because that shade does not exist in the CMYK colour space.

Design in CMYK from the beginning. If your designer hands you an RGB file, ask them to convert it and re-export before sending it in. The difference in final output is significant.

3. Set Up Bleeds If Your Design Touches the Edge

If your flyer, business card, or banner has a colour, image, or pattern that runs to the edge of the paper, your file needs a bleed. A bleed is an extra 3mm of design that extends beyond the final cut line. Without it, the cutter can leave a thin white strip of unprinted paper at the edges, which looks unfinished.

Ask your designer to add 3mm bleed on all 4 sides. Also, keep important text and logos at least 5mm away from the edge of the final cut size, because cutting is never perfectly precise on every sheet.

4. Check Your Image Resolution

Images pulled from WhatsApp, Google, or social media are typically 72 DPI, which is fine for screens but will look pixelated and soft when printed. Print requires at least 300 DPI at the final print size.

A quick test: if you zoom your image to 100% on screen and it looks blurry, it will look worse in print. Always source high-resolution photo, or request them from your photographer.

5. Keep Black Text as Pure Black

When you want black text in a design, set it to 100-C, 100-M, 100-Y, 100K in CMYK.

One More Thing

Before you send your file, print a copy at home or at a business centre, even in ordinary quality. Hold it up. Check the colours, check the edges, and make sure nothing has been cut off. What you see is close to what will come out of the press.
